How to prepare for a business trip

Posted on 11/11/2022

Review the company's travel policy prior to your business trip.

This is a no-brainer but it may seem like the kind of trouble you want to avoid in order to focus on the actual trip... But please don't neglect this aspect of business travel, it may cost you! So, before you start planning your travel and contemplate whether or not you'll have time to eat at the restaurant that you've heard so many stories about, be sure to be aware of the travel rules and regulations that apply to your company, such as what you are allowed to do, and what you should avoid, etc. This may include the expenses involved, the way in which reimbursements are handled, the procedures to be followed when planning a trip, and the required approvals. This is where a travel agency can strongly support you in the process by ensuring alignment with the demands of the company and by asking the appropriate questions, as we have extensive experience in this area.

Don't bring more with you than one carry-on bag.

Not only does traveling exclusively with a carry-on will certainly ease your traveling process, but it will also allow you to save a considerable amount of time in airports...not to mention the potential to lose some baggage you may have checked in! Moreover, you are sure to have the essentials you need at all times with you, which means that before you leave you have to consider what is actually the essential stuff that you will need! We recommend having essential items with you such as your toiletries, some medications, and of course any electronic devices you use such as your cell phone, tablet, laptop or AirPods. Also, be sure to pack all your important documents, either for work or travel, such as contracts, passport, agenda, wallet, and so on, together in one easily accessible pocket. But again, be careful that you avoid anything which could delay you at the security checkpoint!

Charging your electronics is indispensable

Naturally, there is no point in having your electronic gadgets if they don't work... In other words, please make sure that you charge them properly before your trip! But also throughout the trip! And when we say properly charged, we are talking about between 80% to 100% of the batteries. Yes, you have read correctly, this is not only a wise habit to develop for all of your activities, but all the more so during your trip. We never know when an unexpected occurrence, a special no-electricity situation, a cancellation, or some other problem might occur ( getting lost in the Alps for instance...) Therefore, we strongly suggest having a power bank and an international power adaptor with you. The first one will enable you to maintain the charge anywhere, whether on the road, on a sailing boat, or who knows in the midst of a blackout, while the second one will guarantee you access to power in any country!

Prepare some good snacks beforehand

To maintain a good energy level and above all a steady mood while traveling to different cities, we suggest preparing a little snack that will help you keep up with the journey. Regardless of whether you are spending a considerable amount of time in airports, on planes, or even on trains, moving from one conference to the next, from one meeting to the other, or whether you have several layovers before reaching your destination, it is important for you to have a selection of healthy travel snacks at your disposal. Consider almonds, pumpkin seeds, bananas, apples, walnuts, peanuts, a few vegetables, and the ever-popular trail mix

Fast adaptation is key

A very good habit to adopt when arriving at a destination is to not let yourself be tempted by sleep, but instead do some exercises and stretching in your hotel room. The uncomfortable experience of being seated for long periods of time on the plane, of carrying around your luggage, might cause unwanted pain during your business trip. This is why you should be stretching out your neck, your back, and your legs, in order to feel well and relaxed. In addition, exercising and adapting to the mealtimes of your travel destination may help you fight jet lag. Read this article in which we provide you with some valuable tips to counter jet lag!
